An intranet portal is a virtual "communication center" of a company. He helps:

Company ProNET is a manufacturer of intellectual products. Our strategic goal- creation effective organization represented in all segments of the Ukrainian IT market. To do this, we are consolidating core assets, improving the project and business management system in general; in particular, we pay great attention to the use the latest technologies to automate core business processes.

In connection with the expansion into the regions, there was an urgent need to expand the staff of the company: today we have more than 170 employees at the head office and in 10 regional offices. The rapid growth of the company, in turn, required the standardization of work, clear planning and control, constant communication with employees of remote departments.

We understood that individual measures would not help here: we needed to combine existing informational resources, create a corporate intranet portal - a single information space. And such a decision was made.

For the implementation of the project created working group from the specialists of our company. The leadership of the group was entrusted to the Deputy Director, who is responsible for quality assurance and the organization of internal processes.

The working group was given tasks that can be grouped into three areas:

  1. Relationships between employees, internal corporate communications:
    • Describe the functional / job responsibilities for all employees (for all positions);
    • Develop a regulation "On the interaction of divisions of the company";
  2. Working with clients:
    • Create unified corporate rules/standards for service, organization of work and communication of departments involved in the planning and implementation of complex IT projects;
    • Optimize and automate the contract management process;
  3. Work with employees: to minimize the period of adaptation of newcomers, as well as the time spent on solving their typical problems.

The result was a comprehensive project that led to the change, refinement and formalization of many processes. The most interesting thing is that we managed to implement such a large-scale project with virtually a “zero” budget and on our own.

To begin with, we defined:

  1. Goals;
  2. Time frame of the project;
  3. Composition of the working group.

I would like to draw special attention to the need to clearly set deadlines. If time limits are not fixed, then, starting to perform work, performers often doom themselves to an “eternal project”. This is a big mistake. It is extremely important to clearly set not only the final “checkpoints” (delivery), but also intermediate ones - summing up, analyzing the results achieved. In addition, it is important to form a team correctly: the main thing here is not the number of people “on board”, but whether they understand the significance of the project, whether they want to make the company better with its help.

When implementing projects related to changes in the usual algorithm of work, the initiators inevitably face hidden or overt resistance. We were ready for this. To prevent possible dissatisfaction, we conducted explanatory work with employees:

  1. They talked about the fact that an intranet portal is being developed, that thanks to its work, each of them will receive certain benefits.
    On the general meeting informed people about the idea as well as the goals of the portal. Then they held meetings in each department - they told what benefits the employees would bring proper organization works. Conducted a survey of colleagues about the required modules and collected wishes. ;
  2. Organized a permanent feedback;
  3. Recorded constructive proposals of colleagues.

At the first stage, the key blocks of the internal portal were developed:

  • "Model of business processes of the company", "automation of the business process of negotiating contracts", "knowledge base";
  • A number of special services: internal corporate directory of employees; employee's personal card; list of birthdays; news feed; calendar of events; technical support ( Service Desk), a list of company services (see Fig. 1 and 2).

The business modeling system was chosen as a tool for solving these problems. business studio. The construction of a "seamless" management system (including modeling, regulation and control of the execution of business processes) was solved by integrating systems business studio and DIRECTUM:

  • First in the system business studio the architecture of the company as a whole and the main business processes of the operational level was built;
  • Then, already optimized business processes (for example, “contract management”) were automated using the system electronic document management and interaction management DIRECTUM.

The integration of these two systems made it possible to quickly build optimal business processes that work without failures. Now the portal helps us:

  • Formalize and optimize business processes;
  • design and adjust organizational structure, staffing, building an organizational chart (see Fig. 3);
  • Form regulatory documentation in accordance with ISO standards, etc.

Having described the business processes "as is", we created diagrams with the help of which we determined the main participants in the process, the requirements for the deadlines, Required documents and a number of other parameters (for example, negotiation of contracts - see Fig. 4). After the completion of the formalization of business processes, "owners" and "performers" were appointed for each of them.

Then they developed:

  1. Regulations on divisions (place in the organizational structure, rights and obligations, interaction with other divisions, performance evaluation indicators, etc.);
  2. Job descriptions of the company's specialists (see Fig. 5).

We creatively approached the solution of the tasks set for us, so the result is far from a typical corporate portal:

Firstly, here employees can find the organizational structure and job descriptions that are built on the company's real business processes (with details to a specific contractor, indicating the scope of his responsibility, as well as the degree of influence on the final result).

Secondly thanks to the intranet portal new incentive for development received an already existing internal project"Quality mark". The purpose of the project is to collect ideas and suggestions from employees regarding the improvement and modernization of existing business processes. In 2006, about 80 information systems were operating at AvtoVAZ, and 150 servers were concentrated in the data processing center. When the portal was introduced into the corporate network, more than 10,000 workstations were included. The main goal of the project was to find solutions that ensure the integration of the organization's IP and the required level information security. As a result, Tops BI implemented a product at AvtoVAZ - a corporate portal based on the Oracle AS Portal package with multi-level access rights, service integration, etc.
