For example, shipment from Samara to Khabarovsk will take about 6 days, and the total cost, together with a notification and an inventory, will be about 170 rubles (about 4 days, the cost is 220 rubles with an expedited delivery method).

To avoid loss or confusion at the time of receipt of the message, an inventory of the contents is additionally included in the envelope. An insured letter with a description of the attachment avoids misunderstandings between the mail, the sender and the addressee.

Sending registered letters (with notification)

Sending registered letters (with notification)

Sending registered letters

Perhaps the most important difference and advantage of a registered mailing from a simple mailing is a detailed mailing list reporting.

The sender of registered mail receives a complete and detailed list (" form №103”), where the recipient and his address, weight, postal rate of the letter, SPI, date of receipt, etc. are indicated.

The list is stamped by the receiving post office and signed by the responsible postal officer. The presence of such a list is the main confirmation of the fact that a registered letter was sent to a specific recipient on a specific date, which is essential for many companies. These may be important messages and notices to clients, debtors, court documents etc.

If you need to get a detailed report on where and when each specific letter passed the control points, the ForPost company will provide it to you by requesting it from the mail registration system of the Russian Post necessary information and handing it over to you in a convenient format.

If the sending of registered letters with the assigned postal identifier was lost by Russian Post, you can submit a request or claim, indicating its number, to which you should receive an official response. The presence of such a response is a confirmation conscientious execution your obligations to send correspondence, perhaps to any authority.

Registered letter with notification

The notification is affixed to the envelope of a registered letter so that upon delivery it is possible to carefully separate them, and with the signature of the recipient or an explanation of the reason for non-delivery, send back to the sender.

For forwarding such a notification, Russian Post charges a separate tariff. As a rule, it is close to the cost of sending a regular postal card. In fact, the notification is such a card, but it is made of thick paper (about 300g / m2). Learn more about the cost of sending registered letters and notifications on our Pricing page.

Performing work on sending registered letters with a notification, ForPost employees will not only produce mail notifications of the required format, but also:

  • will put on them information about the sender and recipient,
  • unique postal identifier,
  • attach notifications,
  • sorted registered letters in strict accordance with postal rules.

Everything should be done in such a way that post office employees have as few chances as possible to make mistakes in processing received correspondence!

What you need to know when planning to send registered letters?

The rules for sending letters are the same for all regions of Russia. Registered mail items (RPO) are stored at the addressee's post office 30 calendar days, category "Judicial" - 7 calendar days, registered letters of the Pension Fund of the Russian Federation - 60 calendar days.
If within 5 calendar days (3 for "Judicial") the recipient for the RPO did not appear, a secondary notice is delivered to him.

In case of business correspondence or conflict situation between the two parties, as well as in a number of other cases, it becomes necessary to send a registered letter with a notification and a description of the attachment to the addressee. For example, in pre-trial settlement, the possibility of notifying the other side of the conflict via mail is often used. For many decades, little has changed, only notification forms and descriptions of attachments have changed, they have become much simpler and clearer, faster to fill out. Let's analyze what a registered letter consists of with a notification of receipt and an inventory.

This letter consists of three parts.:

  • registered letter
  • notice of delivery
  • inventory

Registered letter

We put the documents that we want to send into the postal envelope and in order for the letter to become registered, it is enough to tell the postal employee that your letter is registered. From that moment on, the letter will receive a tracking number. This identifier will help trace the entire path of the letter from the sender to the addressee. It is possible to track the path of the letter through the Internet. You can even order an SMS notification by filling out a special SMS notification form. You can choose any envelope that is most convenient for sending correspondence. It is necessary to fill in from whom (name or name of the organization, address of the sender) and to whom (name or name of the organization, address of the recipient).

The addressee can be either a physical person or entity, as well as representatives of these persons. The postman will deliver a registered letter to the addressee or representative, if it is impossible to deliver the correspondence, he will leave a notice in the mailbox. Then you have to go to the post office and get a letter. If within a certain time no one picks up the letter (30 days for postal orders and correspondence), then it will be returned to the return address at the expense of the sender.

Delivery Notice

A notice of receipt is needed so that you can be sure that your letter was delivered to the addressee. We take a special form for f.119(for Russia), fill it in. It is filled in simply, on one side the address and full name of the sender (who should receive the notification) are indicated, on the other side the address and full name of the recipient. The notice travels with registered mail, then is returned to the sender. As a result, we receive a notification signed by the recipient that all correspondence has been received.

inventory

The inventory is compiled in order to make it clear which documents have been sent. For example, these can be photographs, copies of various documents, copies of cash receipts, claims, etc. All these documents are listed in the inventory, and each document can be assigned its own value ( this document will be insured for the specified amount). Fill out a special form f. 107 and put it in an envelope along with the documents. The form can be downloaded in advance from the Russian Post website with the required number of columns that need to be filled out. It consists of two identical parts. One part is sent along with the letter, the second part remains on hand.

Thus, by combining all three concepts, we get a registered letter with a notification of receipt and an inventory. The registration process does not require much time, the forms to be filled out are becoming easier to fill out. The cost can be calculated on the Russian Post website using a postal calculator. For example, sending a registered letter to Kazan with five sheets of enclosed documents will cost approximately 250 rubles.
